I'm partnering with a life sciences organisation in the search for a Sales Operation Specialist to join its Singapore-based team.
This is a broad sales operations and commercial support position, combining customer coordination, sales administration, order management, reporting and inside-sales activities.
The role would suit someone who enjoys working at the centre of a busy commercial organisation — keeping customers, sales teams and internal functions aligned while ensuring opportunities and orders move smoothly from enquiry through to completion.
Key Responsibilities Sales & Customer Support:
- Manage incoming customer enquiries and coordinate them with the appropriate commercial teams.
- Support the sales process from initial enquiry through quotations, proposals, order processing and follow-up.
- Prepare quotations, commercial documents, pricing information and customer materials.
- Maintain regular communication with existing customers and support ongoing account development.
- Identify potential additional business opportunities and ensure these are followed up by the relevant sales team.
- Coordinate customer meetings, product demonstrations, online sessions and other commercial activities.
- Maintain accurate customer and opportunity information within the CRM.
Sales Operations:
- Manage day-to-day sales administration, including order entry, order tracking, delivery coordination and invoice follow-up.
- Work closely with supply chain, logistics, finance and customer service teams to ensure smooth order fulfilment.
- Resolve customer and order-related issues in a timely and professional manner.
- Maintain accurate records relating to customers, commercial agreements and pricing.
- Prepare regular sales reports, pipeline updates and business performance summaries.
- Support forecasting, annual planning and other commercial reporting activities.
- Provide administrative support to senior commercial stakeholders when required.
Regional & Cross-Functional Coordination:
- Act as an important point of contact between customers, sales teams and internal functions.
- Coordinate with colleagues and business partners across different markets and time zones.
- Support customer events, conferences, meetings and other commercial activities.
- Work with marketing, regulatory, technical and operational teams to ensure customers receive timely information and support.
- Track outstanding actions and follow-ups to ensure timely completion.
Reporting & Market Support:
- Maintain visibility of key customer, sales and activity information.
- Compile and analyse data to support commercial decision-making.
- Assist with business reviews, presentations and management reporting.
- Monitor relevant market and competitor developments and share useful insights with the commercial team.
Compliance & Quality:
- Ensure commercial and administrative activities are completed in accordance with internal policies and applicable industry requirements.
- Maintain appropriate customer and commercial documentation.
- Support internal processes, audits and compliance activities where required.
Requirements:
- 5+ years of experience in sales administration, sales operations, inside sales, commercial coordination or a similar role.
- Experience within life sciences, healthcare, medical technology, pharmaceuticals, biotechnology or another technically complex industry.
- Experience supporting sales teams and/or senior commercial stakeholders.
- A good understanding of B2B sales processes, customer management and order fulfilment.
- Strong customer service, communication and stakeholder management skills.
- Confidence working across multiple internal functions and with stakeholders from different markets.
- Experience with CRM systems and strong Microsoft Office skills, particularly Excel and PowerPoint.
- A background in a scientific or technical environment would be advantageous
